    Our client is seeking a Legal Secretary to support the team within the Family Department. This is a fantastic opportunity for an experienced legal secretary looking to establish their career within a group of creative lawyers.


    Responsibilities


    You will be responsible for providing secretarial and administrative support including typing memos, letters, emails, correspondence and reports
    Maintaining a diary for the Solicitors, entering client visits, appointments, meetings and lunches, chasing up any outstanding letters and arranging meeting rooms when necessary
    Maintaining a Personal Training Record of all training that is received
    Organising meetings with clients


    Skills

    The successful candidate will ideally have held experience of working in a family team as secretary
    You need to be able to utilise digital dictation
    Fast and accurate typing and audio skills
    You will also have experience working in a demanding and fast paced environment
    Confidence in using the Microsoft Office package, visual files and case management systems will be an advantage
    Organised and punctual as well as supporting other members in the team

    Responsibilities


    You will be providing 1-1 support to Partners and 2 other Fee Earners, ensuring all documents and e-mail correspondence are filed in their electronic document management system and paper files are accurately maintained
    Audio and copy typing of memos, correspondence, legal documentation and to a high standard of accuracy, within deadlines. Handling telephone enquiries in a professional and polite manner, taking accurate messages and following up on agreed action


    Skills


    Experience as a Legal Secretary within a Property team will be important due to the high level of documentation that will be expected at Companies House.
    Good Time Management skills and Organisational skills will be taken into consideration. Proficient in Word 2003, Outlook, Powerpoint and Excel. Filesite, 3E, Contact Manager and Digital Dictation are desirable.
    Digital dictation (audio typing)
    Creating/amending documents ranging from 2 pages to 100 pages. For example, precedent documents, deeds packs, deeds, letters etc.
    Creating mail merge documentation
    Dealing with a range of client specific billing requirements and generating a large number of bills on a monthly basis
    Dealing with clients, agents etc by phone, taking messages and general calls
    Filing, electronic filing and general admin duties such as faxing and photocopying
    Assisting the Team with overflow typing
    Managing diary appointments and making arrangements for meetings
    Making travel and accommodation arrangements for fee earners where required

    Support the Family Team with strong secretarial and typing skills
    Demonstrate familiarity with the firm`s systems and procedures

    File maintenance and manage a file's Lexcel compliance
    Help others and cover other secretaries' work when required to high standards
